Retainer

A recurring monthly fee a client pays a freelancer for guaranteed availability or a defined scope, regardless of how much work materialises that month. The most stable freelance income shape.

A retainer is a recurring monthly fee that buys a client one of two things:

  1. Access — "€2,500/mo for me to be available, up to 20 hours,"
  2. Outcome — "€2,500/mo for the marketing site to stay maintained and the blog to ship two posts."

Either way, the cash arrives on the first of the month and the freelancer's mental load drops. Retainers are the most stable income shape in freelancing — but only if they're priced and scoped honestly.

Why it's the goal for many freelancers

Hourly + project work is volatile: a slow month tanks the budget, a busy month tanks the calendar. A retainer smooths both. Three healthy retainers can cover a freelancer's baseline expenses, with project work layering on top. Predictability frees up cognitive space for craft and client relationships, not bookkeeping.

The trap: a retainer that quietly drifts. Month one, the client uses 12 of the 20 hours. Month two, 19. Month three, 26 — and now you're overdrawn but afraid to renegotiate because "they're a great client." The retainer model only works if both sides see, every month, what was paid for and what was delivered.

How to set one up

A workable retainer has three traits:

  1. Scope is visible, not vibes. "20 hours/month, used flexibly" is better than "ongoing support."
  2. Hours roll forward 30 days max, not "the whole year." Stops banking abuse.
  3. A renewal moment. Quarterly, you both look at what was used and decide if the shape still fits. Without it, the retainer ossifies.
